TRAVEL

 

Venue: The conference will be held on the Yale University campus at two locations: The Presidents' Room in Woolsey Hall, 500 College Street, 2nd Floor (Friday, November 1 in the AM only), and Room 129 at the Yale Law School, 127 Wall Street (Friday, November 1 in the PM, and Saturday, November 2)

Lodging: Out-of-town guest panelists and speakers will be housed at the Omni New Haven Hotel at Yale, 155 Temple Street in downtown New Haven within walking distance of campus.  Yale will cover all room and parking charges.  Pam Greene will confirm reservations for lodging on a master list and charges will be direct billed to our Yale department.  Please contact Pam with any questions.

Travel: Yale will cover eligible travel costs for guest panelists and speakers (transportation, lodging, and meals).  Guests may choose to make travel-related purchases on their own and be reimbursed based on the submission of original, dated, itemized receipts.  However, we encourage conference travelers to use the Yale Orbitz for Business account for purchasing airline or Amtrak tickets so that they can enjoy any special Yale discounts and have charges direct billed to our Yale department. Instructions for using the Yale Orbitz for Business account can be obtained by contacting Pam Greene.

 

Suggestions for Travel to Yale:

 

Air Travel
Yale will pay/reimburse for economy class air travel only, and we encourage you to make your flight reservations early in order to get the best fares.

New Haven is serviced by the Tweed/New Haven Airport which is a convenient 10-minute taxi ride to the Yale campus and has daily flights to/from Philadelphia on US Airways.  Other alternatives are Bradley International Airport near Hartford (approx. 1-hour driving time to Yale), or one of the New York area airports (La Guardia, JFK, or Newark approx. 2.5 hours driving time).  Air reservations may be purchased through the Yale Orbitz for Business account.  Contact Pam Greene for details.

Connecting Ground Transportation

Please contact Pam Greene (office phone 203-432-3052) to determine the best ground transportation option for your travel itinerary when flying into Bradley International Airport in Hartford (BDL), or to the New York area airports (JFK, LGA, EWR).  Car rental and private car service are available in addition to the standard options below:

From Hartford/Bradley International Airport:
• CT Limousine: 800-472-LIMO (5466) or www.ctlimo.com.; hourly shuttle service making approx. 3-4 stops to/from airport and Long Wharf Terminal in New Haven.  Will also drop off at New Haven area hotels and pick up at Phelps Gate on the Yale campus.

From JFK and LaGuardia Airports in New York:
• CT Limousine: 800-472-LIMO (5466) or www.ctlimo.com; 12 passenger van or bus with approx. 5 stops or more between airport and Long Wharf Terminal in New Haven.
• GO Airport Shuttle: 800-377-8745 or http://www.2theairport.com/; shared ride service door-to-door between airports and New Haven hotels.
• QCONN Shuttle: 800-280-7734 or http://www.qconnshuttle.com/; shared ride service from/to JFK and LGA connecting to most New Haven hotels.
• Red Dot Shuttle: 800-6REDDOT (673-3368) or http://ridethedot.com/; hourly shuttle service between most New Haven hotels and JFK or LaGuardia airports.

Train Travel
Amtrak (1-800-USA-RAIL / 1-800-872-7245 or www.amtrak.com) is available along the northeast corridor from Boston, New York (Penn Station) or Washington, DC – and points in between – to Union Station in New Haven.  Amtrak reservations may be purchased through the Yale Orbitz for Business account.  Contact Pam Greene for details.  Yale will cover the cost of coach or business class tickets, but not upgrades to first class.  (NOTE: Yale receives a significant discount on the Amtrak Acela trains between DC and New Haven so please do book your travel with the Yale Orbitz system if coming from DC.)

More frequent commuter train service is available between Grand Central Station in New York City and Union Station in New Haven.  Call Metro North Railroad at 1-800-638-7646 or visit their web site at www.mta.nyc.ny.us/mnr/index.html for times and fares.

Taxi Service
Taxi service is always available directly outside of New Haven Union Train Station or New Haven Tweed airport.  If you need a taxi for return travel or between the conference hotel and Yale campus venues, taxi service is available through Metro Taxi by calling 203-777-7777.  It usually takes 10-15 minutes for a taxi to arrive for pick up after receiving the call.  Yale will reimburse this expense based on the submission of original dated receipts.

By Car
If traveling by car in a personally owned vehicle, Yale will reimburse for mileage at a rate of $.565 per mile.  For driving directions to the Omni New Haven Hotel at Yale, please visit http://www.omnihotels.com/FindAHotel/NewHavenYale/MapAndDirections.aspx.  We will cover the cost of parking at the conference hotel.

Car Rental
Yale will reimburse for the cost of car rental and related gasoline purchases upon submission of the original dated and itemized receipts.  However, you must have your car rental approved in advance by contacting Pam Greene (office phone 203-432-3052).

Meals
We will provide meals during the conference, including:
• Continental breakfast, lunch and dinner on Friday, November 1.
• Continental breakfast and lunch on Saturday, November 2.

Other meals purchased during travel for this conference will be reimbursed based upon the submission of the original dated and itemized receipts.
